Transaction Coordination

When a transaction is under contract I will: 


  • Coordinate opening of the file with title and handle all documents securely.


  • An introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to co op-agent,  buyer/seller (Your client as appropriate), lender and title company.


  • Ensure everything is fully executed with dates, initials, signatures, and broker information is completed. 


  • Submit all required contract documents to broker for compliance.


  • Ensure the lender, title company, and broker receive any amendments or changes to the contract. 


  • Verify EM deposit & Option Money deposit (if applicable) and obtain receipt from title. 


  • Confirm Buyer Set up inspection date and time. (when applicable)


  • Keep in contact with the title company and lender throughout the transaction.


  • Keep you the agent informed by providing email updates on the status of the transaction.


  • Update deadlines due to any changes in the contract. 


  • Order Home Warranty per contract if needed. 


  • Monitor appraisal timeline and completion with the lender.


  • Alert agent of any lender required repairs or appraised value issues.

  • Coordinate and monitor buyers loan status with lender. 


  • Ensure your buyer/seller is provided a copy of all documents. 


  • Complete CDA request. Form MUST BE approved by agent before submitting to escrow.


  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable) 


  • Provide a weekly status update to you. 


  • Verify title has all required documentation.


  • Ensure Survey has been ordered (if applicable)


  • Ensure HOA Docs has been ordered (if applicable)


  • Schedule closing for client and agent if applicable. 


  • Conduct a final audit of file prior to closing to ensure file is complete and compliant.

  • Upload Final HUD/ CD to agents transaction system and request Buyers Walk Thru and Acceptance.



This Service includes: 


All the above (Contract to Close transaction) PLUS: 


BUYERS SIDE: 


  • Upload buyers rep agreement and all broker required forms for compliance. (these would have already been completed prior to us getting the file)


  • Remind Buyer to Deliver Earnest Money and Option Money to the Title Company within the Deadline


  • Send your buyer 3 or more inspectors info. (Your buyer will schedule their own inspections)


  • Upload all forms, amendments, and addendums for compliance 


  • Follow up on repairs and receipts from inspection 


  • Give utility contact info and remind the buyer to transfer utilities. 


  • Coordinate Key transfer upon closing. 



SELLERS SIDE: 


  • Upload Listing Agreement and all broker required forms for compliance. (These would have already been completed prior to me getting the file


  • Follow up and ensure all documents have signatures


  • Upload all forms, amendments, and addendums for compliance. 


  • Follow-Up to insure all repairs were completed, receipts were received, and forward to co-op agent.


  • MLS Data Input to option pending, pending, closed


  • Coordinate Key transfer


Agent Expectations 


Provide any/all contract related documents & contract information on file. Negotiate any/all terms, repairs and any changes to the contract. Advise the client of any contingency timeline removals (we will remind all parties of the dates and timeframes in the introductory email).  Review preliminary title reports. Review escrow Instructions and settlement statements. If agent would like TC to prepare addendums or amendments acknowledge they will only be completed during business hours and only with clear communication via email


Fee Schedule 


  • Listing or Buyer Side: $400.00 to be paid at closing
  • Dual Transaction: $750.00 to be paid at closing
  • New Construction Buyer Side - $400.00





Prelisting Coordination

Setup New Listing File 

(minimum 72hrs notice required & payment to be received before work begins)


  • Complete Broker Required Listing Docs in Dotloop


  • Add Clients to CRM


  • Complete Listing Docs and send them to client along with any required addendums/disclosures for signatures.

        (Agent is responsible for explaining all documents to their client & answering all of their clients questions)


  • Add listing info to the MLS as incomplete

       (Agent will provide completed mls imput sheet and Agent will complete all listing comments and descriptions)


  • Ask seller to make a copy of key for lockbox


  • Have Agent Approve & Sign Off on MLS input before sending to seller for approval and before going live


  • After Agent Approves, email to seller to review and approve before going live.


  • Add Required Documents to the MLS Listing such as Sellers Disclosure, Survey, HOA Addendum, etc.


  • Add all listing documents & disclosures to the brokers online compliance management software and ensue the file is compliant.

Pre-Listing Form

File Auditing & Broker Compliance

(Minimum 72hrs notice required & payment to be received before work begins)


If you find yourself overwhelmed with gathering all the documents and disclosures submitted for your brokers compliance I can take care of that for you. I will place all of the already prepared and signed documents in the

Broker Compliance System and Request Your CDA. (this will not include any communication with your client)
